Talking to your property owner shouldn’t feel like a guessing game. Whether you're reporting a repair, following up on your deposit, or just trying to get a simple answer, the way you communicate makes a difference - especially if something goes wrong.

Below, you’ll find three key things every tenant in Spain should know about how, when, and why to manage communication the smart way.

Document. Everything. Always

Verbal requests don’t count when things go south. Written records do.

It’s tempting to send a quick voice note or mention an issue casually when your property owner drops by. But here’s the truth: if it’s not in writing, it didn’t happen.

Requests for repairs, notice about leaving, updates about the apartment’s condition, everything should be done over email, or inside your rental platform (if you have one). Take pictures of issues and include them when reporting. If you're fixing something yourself, keep the receipts.

These messages become your paper trail,  the story that proves you’ve been responsible and proactive. In case of disputes, especially around your deposit or delayed repairs, they’re your best defense.

Getting ghosted? Here’s what to do

If your property owner stops replying, follow the right steps.

It happens more than it should: you report a leak, or ask for a repair, and suddenly the silence is louder than the dripping tap.

  • Step one
    stay calm. Step two: follow up, write an email. Be polite, firm, and specific. Include a summary of what you’ve asked, when, and why it matters. Then wait a reasonable amount of time (depends on urgency).

 

  • Still no reply?
    Start logging every attempt, and if needed, reach out to a tenant advocacy group or legal aid service. You have rights under Spanish law, and ghosting doesn’t mean you’re powerless.

When it’s the property owner’s job to step in

It’s the property owner’s job to take care of any repairs needed to keep the place safe and livable.

This includes things like

  • A broken boiler in winter
  • Dangerous electrical issues
  • Major leaks or flooding
  • Anything that makes the property unsafe or uninhabitable

These aren't favor’s, they’re legal obligations. If the response is too slow, you may be able to fix the issue yourself and deduct the cost, but only if it’s agreed upon by mutual consent between the parties.
